These letters have been filed in alphabetical sequence under the initial letter of the writer’s name, within yearly groups. Inwards and outwards correspondence systems operated by the Director of Parks & Reserves (later designated the Director of Parks & Recreation) and his senior staff. Note: Prior to 1987 the Parks & Recreation Department operated three filing systems, all functioning simultaneously: a) unregistered subject files (containing both inwards and outwards correspondence) were created for some important subjects (see subseries 5/1/1) b) inwards correspondence that was not placed in a subject file was filed in alphabetical sequence under the name of the writer (see subseries 5/1/2) c) carbon copies of all outwards correspondence (on pink paper) was filed in alphabetical sequence under the name of the person or organisation to whom the letter was addressed (see subseries 5/1/3) In 1987 the Department created a new system of registered subject file, classified in an alpha-numeric sequence (see subseries 5/1/4), but some officers appear to have continued to create unregistered subject files (see examples in subseries 5/1/1).
